Frequently Asked Questions
What is the payment schedule for picnics?
For picnics with 12 guests or fewer, a deposit of at least $100 is required to reserve your date. Deposits are non-refundable. The remaining balance is due 5 days before the picnic. A 2-day extension may be requested, and if approved, a late fee will apply.
If you’re booking within 5 days of your picnic date, the full amount is due at the time of booking.
If the balance is not paid in full by 3 days before your picnic, we will regrettably have to cancel your event and release the date.
How much time do I have for my picnic?
Picnics typically last 2 hours. If hosting your picnic in a private location, you may choose to have your picnic longer at no extra charge. This however must be arranged at the time of booking. Additional time requested the day of your picnic in a public location may not be available and will incur a fee if we are able to accommodate your request.
Can we access our picnic early?
To maintain the highest standard of quality, our team requires uninterrupted time to complete your setup. Every detail—from the table styling to the seating design—is carefully arranged to create a seamless, luxurious experience. Guests may approach their picnic at the reserved start time only. Should your picnic be ready ahead of schedule, a team member will notify you so you can begin enjoying it sooner.
Can I add my own touches or décor?
Yes. If you’d like to incorporate personal touches, this must be done after our setup is complete to preserve the integrity of the overall design. Should you wish to allow additional time for this, please let us know in advance so we can extend your reservation accordingly.
Do you host corporate picnics or large groups?
Yes ! Send us your picnic details and we’ll be happy to help!
How far in advance do I need to book my picnic?
We recommend booking your picnic at least 5 business days in advance to ensure we have enough time to prepare and accommodate your request. Reservations made with less than 2 business days’ notice may be subject to a rush fee and are based on availability.
Do I need to get a permit for my picnic?
Some public parks require permits depending on the location and the size of your group. Larger gatherings almost always require a permit. Popular parks such as the Boston Esplanade, Larz Anderson Park, and North Point Park frequently require permits for any sized group event. Clients are responsible for confirming requirements directly with the park and securing any necessary permits in advance. Lets Picnic Boston does not apply for, monitor, or manage permits on behalf of clients. If a permit is required, it must be secured prior to the event. If a required permit is not obtained and the picnic is interrupted or prohibited, no refunds will be issued.
Does Lets Picnic Boston offer catering?
While we don’t offer full meals, we do offer curated charcuterie boards and brunch grazing boards at an additional fee and complimentary baskets of sweet and salty snacks to elevate your picnic experience. We’re happy to recommend trusted catering partners and coordinate your catering needs on your behalf. Please note, a coordination service fee will apply for this support.
Can I bring my own food or have food delivered?
Yes—absolutely! We encourage you to bring your own food and drinks to enjoy during your picnic. Most of our setup locations are within walking distance to great local restaurants, so feel free to grab takeout on your way. You’re also welcome to use delivery apps—just be sure to send the driver a pinned location once your picnic is set up so they can find you easily.
Can we have our picnic at Boston Commons or in Seaport?
Unfortunately no. Certain Parks in the Boston area have rules that do not allow us to setup on the property. All of these locations do not allow luxury picnic setups but may be accessible with permits.
Can I have my Picnic on a rooftop ?
Yes if you live there ! All rooftops pictured on our website/Instagram page are all private residences.
Can I have my Picnic in my backyard?
Yes ! We love backyard picnics. Enjoy your picnic for as long as you’d like!
What happens if it rains?
We understand that the weather can sometimes be unpredictable. You may choose to move your picnic indoors or reschedule—subject to availability. If you choose to move forward with the outdoor picnic despite the weather, please note that we are unable to reschedule for weather-related disruptions once the setup has begun.
Late Policy
We ask that you arrive on time to your event. We are often booked with multiple events in a day and therefore need to leave promptly after the start of your picnic. If you are more than 30 minutes late a late fee may be charged. If you are more than 1 hour late your picnic is subjected to cancellation without refund. Additional time requested the day of your picnic in a public location may not be available and will incur a fee if we are able to accommodate your request.
Alcohol
Alcohol is prohibited in all Massachusetts parks and beaches. We are not responsible for any incidents that may arise if you choose to bring it without the proper permits and licenses.
Do you do kids themed parties?
We do not do full kids themed events.
